How to Plan a Year-End Team Offsite Near Aspen, Colorado

The short version: pick one property where your team sleeps, eats and meets, give it at least two nights, and hold it before the holidays swallow everyone's calendar. Beyul Retreat sits on 32 acres along the Frying Pan River, 45 minutes from Basalt and an hour from Aspen, with 13 cabins and 6 lodge rooms that comfortably sleep 60 to 70. In October the valley is gold in the first half of the month and quiet and clear in the second, and both make for a focused few days.

Why hold a team offsite at the end of the year?

By October, your team already knows how the year went. The numbers are mostly in, and the conversation is about what to carry into 2027 and what to put down. That conversation goes better with a few days of room around it than with a 90-minute video call squeezed between two other meetings.

Every season has its own reason to get a team together. A year-end offsite is for looking back and deciding what comes next. A winter one sets direction for the year ahead, a spring one resets a team after a busy stretch, and a summer one gives people long days outside together. The valley gives you room for that conversation whenever you come.

Where do teams stay for an offsite near Aspen?

Look for one property where everyone sleeps, eats and meets. Splitting a group across a hotel and three restaurants costs you the part of the trip that actually works, which is the unplanned hour after dinner when somebody finally says the thing they've been sitting on since summer.

Beyul has 13 cabins and 6 lodge rooms and comfortably sleeps 60 to 70. Sessions can happen in the lodge by the fireplace. Between sessions there's the sauna, the spring-fed cold plunge, the hot tub, the mercantile, trails, ponds and the Forest Spiral, a walking meditation path that is a surprisingly good place to think through a problem alone.

The river runs low and clear in October, and the aspen groves go gold early in the month and bare by the end of it. First dustings of snow appear on the peaks.

What does a two-night offsite schedule look like?

A structure that holds up well at altitude:

  • Day one: arrive mid-afternoon, settle into cabins, walk the property, dinner, fire pit. No working session the first night. People need to land.

  • Day two: one long morning working session, a real break in the middle of the day, a shorter afternoon session, then sauna and a fire. Don't cut the middle-of-the-day break when you run behind. It's the reason the afternoon session is any good.

  • Day three: a 90-minute session to write down what you actually decided, then breakfast and drive out.

Build in less than you think you need. A lot gets settled in the hour around the fire pit that was never on the schedule.

Is there wifi?

There's no wifi in the cabins but there is at the main lodge, the gathering tent and the 6 bedrooms upstairs inside it. Tell people in advance so they can set expectations with clients and families before they arrive, and decide as a group when, if ever, you'll check in with the outside world.

How do meals work?

Our chefs cook with organic, local, sustainable and seasonal ingredients, accommodate all food allergies and preferences, and use the best animal proteins available.

What should people pack for October at 8,200 feet?

Layers, and more of them than a Front Range fall requires. Mornings hold frost until mid-morning. A warm hat, a real jacket, boots that handle wet leaves, a swimsuit for the sauna and cold plunge, and a headlamp for walking between cabins after dark.

Remind people to drink more water than usual on the first day. Altitude is undefeated against anyone who arrives dehydrated and orders a second drink at the fire.

How far is Beyul from Aspen and Basalt?

Basalt is 45 minutes away and Aspen is an hour. The drive up the Frying Pan River Valley is part of the trip, so tell people not to schedule a call for it.
