You’re ready to roll up your sleeves and bring exciting retreats to life, from brainstorming fresh ideas to refining systems. The ideal candidate will have the following skills and experience:

  • Prior Coordination Experience: You’ve planned and executed events before—whether in a corporate, hospitality, or other retreat settings. You understand the importance of clear communication, timing, and adaptability. 

  • Strong Excel & Financial Skills: You can manage spreadsheets with ease, track budgets, and understand basic financial processes like invoicing, accounting, and reporting.

  • Customer Service & Client Management: You’re a relationship-builder who understands the importance of delivering a seamless, positive experience for clients before, during, and after their retreat.

  • Tech-Savvy: You’re comfortable using event management software (like Retreat Guru), scheduling tools, and other online systems to keep everything organized.

  • Creative & Detail-Oriented: You have a passion for creating exceptional experiences and care deeply about the little details that make a retreat truly memorable.

  • Leadership & Team Collaboration: You’ve successfully managed teams and know how to inspire and lead by example, ensuring smooth collaboration across departments.

  • Problem-Solving Mindset: Things don’t always go as planned, but you’re great at thinking on your feet, finding solutions, and staying calm under pressure.

  • Marketing & Social Media Savvy: You’re comfortable with platforms like Canva, Instagram, Facebook, and other marketing tools. If you have experience in creating content, curating social media posts, or designing marketing materials, that’s a huge bonus!

Beyul Retreat, a backcountry adventure lodge meets wellness retreat, is now hiring for the position of Onsite Event Coordinator. Are you a gathering mastermind who loves making things run smoothly while keeping the energy high? A nature-lover who exudes leadership qualities? We’re looking for an onsite team member who works seamlessly with our Remote Coordinator, as well as our summer staff to produce events throughout our event season. You’ll help bring visions to life with creativity, attention to detail, and a passion for creating unique, transformative experiences for our guests!

This is a great role for someone who genuinely enjoys hospitality, people, and the energy of bringing an event to life. No two weeks at Beyul look exactly the same. One day you might be walking a wedding planner through the property, the next coordinating a retreat dinner in Aspen Grove, troubleshooting a last-minute schedule change, or jumping behind the bar when the team needs an extra set of hands. We’re looking for someone who is highly organized and detail-oriented, but who also likes being in the middle of the action, can stay calm when plans change, and gets real satisfaction from creating an experience that feels seamless and thoughtful for guests.

Responsibilities

Client & Event Management

  • Serve as the primary onsite contact for event hosts, beginning in the weeks leading up to the event and continuing through departure.

  • Work closely with the client and Event Planner to finalize the Run of Show (ROS), event logistics, and onsite needs.

  • Lead the onsite execution of the Run of Show, ensuring timing, setup, meals, activities, and transitions run smoothly.

  • Communicate proactively with clients throughout the event and address onsite needs or changes as they arise.

  • Conduct property tours and event walkthroughs as needed.

Onsite Team Leadership & Operations

  • Lead the Front of House, Bar, and Property teams during events, ensuring clear communication and coordination across departments.

  • Facilitate pre and post events to review schedules, responsibilities, priorities, and potential challenges.

  • Help maintain a positive, accountable, and solutions-oriented team culture.

  • Manage event-related staff scheduling and respond to scheduling needs or changes.

  • Identify opportunities to improve onsite systems and workflows, communicate feedback to the General Manager, and help implement improvements.

  • Support the General Manager in addressing team concerns or interpersonal issues when needed.

Food & Beverage Operations

  • Oversee onsite Front of House and Bar operations for retreats, weddings, and other events.

  • Train and supervise seasonal FOH and Bar team members.

  • Coordinate closely with Back of House leadership to ensure meal timing, service style, dietary needs, serving equipment, and event details are clearly communicated.

  • Direct meal setup and service in Aspen Grove and other event spaces, including expo and service flow as needed.

  • Manage alcohol inventory, event beverage planning, and alcohol ordering.

  • Maintain appropriate inventory levels for FOH and Bar supplies, including serving pieces, tableware, linens, glassware, and bar equipment.

Hands-On Event & Property Support

  • Step into operational roles as needed to ensure a successful guest experience, including serving, bartending, dishwashing, basic food preparation, front desk coverage, or cleaning.

  • Support event setup, transitions, breakdown, and other onsite needs as required.

  • Remain flexible and willing to assist wherever needed during busy event periods.

Additional Details

This is an onsite position. Housing is included in the compensation package during the event season (May-October)

  • Part-Time until May 12th

  • Full-Time from May 12th to October 31st

  • Part-Time again after October 31st.

  • Starting at $28/hr depending on prior experience with the opportunity for raises based on performance and tenure.
